The service BDC: how the shop gets filled.
Fixed ops is where dealership profit lives, and the service BDC is what keeps the bays full. Here is what the function covers, how it is measured and where AI fits.
Inbound, outbound, status.
Scheduling, pricing questions, hours, recall checks, loaner requests. Answered live, booked against real capacity.
Declined services, open recalls, due maintenance and no-show recovery worked on a cadence, with consent tracked.
RO status from the DMS without pulling the advisor off the lane, proactively by text where enabled.
Service BDC KPIs.
Service calls that hang up before an answer. The first number to fix.
Appointments booked divided by service opportunities handled.
Confirmed and reminded appointments show more often.
ROs recovered from declined and recall lists, measured in dollars not dials.
Where AI changes the service BDC
Service scheduling is a booking problem, and AI is very good at booking problems: verifying the VIN, checking recalls, assigning op-codes, finding a slot in Xtime or myKaarma, reserving the loaner and confirming by text, all in one call. Consented outbound recovery is the same pattern at scale. What AI should not do is talk down an upset customer or run a promotional campaign. AI-only vendors hand those to your advisors and an internal BDC. Alpha Drive transfers to your advisors just as well, and also supplies Live Assist agents, which is why it is the only option that can erase the internal service BDC. What the service BDC handles, contact by contact
Inbound scheduling. The largest volume. The agent or AI identifies the customer and vehicle, checks the VIN for open recalls, scopes the visit, assigns op-codes, finds a slot against real advisor and bay capacity, reserves a loaner or ride if offered, and confirms by text before the call ends.
Status calls. "Is my car ready?" Answered from the DMS without pulling the advisor off the lane. Proactive status texts, where the store enables them, eliminate most of these calls.
Recalls. Consented, transactional outreach with among the highest response rates in the department. Every inbound call is also a chance to catch an open recall the customer did not know about.
Declined service. Work recommended during a visit that the customer deferred. Worked on a cadence, with the consent basis recorded, and measured in ROs recovered rather than calls made.
Due service and no-shows. Maintenance reminders keyed to mileage or time, and recovery sequences for customers who booked and did not arrive.
How the service BDC works with advisors
Advisors are the department's customers as much as car owners are. A good service BDC hands the advisor a complete appointment: the right op-codes, the recall flagged, the loaner reserved, the customer's concern in their own words. A poor one books a "check engine light" at 8am with no other information. Advisor trust in the BDC is what determines whether the shop honors BDC bookings or works around them.
Why fixed ops leadership cares
Service and parts produce a large share of dealership gross profit, and an empty bay costs money by the hour. The service BDC controls the two levers that fill bays: capturing inbound demand that would otherwise abandon, and recovering deferred and recall work that would otherwise go elsewhere. Fixed ops directors watch abandon rate, set rate, show rate and dollars per RO on BDC-booked visits for exactly that reason.
Service BDC questions
What is a service BDC?
The service BDC handles a dealership's service communication: answering service calls, booking and confirming appointments, checking recalls, arranging loaners, giving RO status and following up on declined services and due maintenance.
Why do dealerships need a service BDC?
Because advisors cannot answer phones and write ROs at the same time. Service calls go unanswered at peak, appointments are never confirmed, and declined work is never recovered. A service BDC captures that revenue.
What does a service BDC agent do?
Answers inbound service calls, books appointments against real advisor and bay capacity, confirms and reschedules, checks VINs for open recalls, sets up loaners or rides, gives status updates and works declined-service and recall lists.
What is the difference between a service BDC and an appointment center?
Usually nothing. Some groups use appointment center for the inbound scheduling function and BDC for the outbound recovery function. Both are part of the service BDC.
Can AI run a service BDC?
Yes for the volume: answering, booking, status and consented outbound recovery. Escalations and upset customers still need a person. Alpha Drive AI pairs both on one platform.
