How to start a dealership BDC.
Eight steps in the order that avoids rework, from the company that has opened and run dealership Business Development Centers since 1993. Whether you build in-house, outsource or put AI in front, the sequence is the same.
Eight steps, in order.
Sales, Service or both; inbound only or inbound and outbound. Most stores start with inbound Service, where the missed-call problem is largest and the results are measurable within weeks.
In-house (you hire and manage), outsourced (a BDC company staffs it) or AI plus live agents (software answers everything, people handle exceptions). Decide based on volume, management bandwidth and how fast you need coverage.
Confirm the CRM, scheduler and phone system can route contacts to the BDC, write appointments back and record consent. Get authorized DMS access if the BDC will check history or status.
Write the definitions for abandon rate, speed to answer, set rate, show rate, sold or RO rate and consent coverage before the first call. Build the scorecard from them.
Script frameworks for the phone-up, service booking, lead reply and confirmation; follow-up cadences for unsold, no-show, declined service and recall. Frameworks, not word-for-word scripts.
Consent basis recorded per contact, AI disclosure where required, quiet hours, opt-out handling across channels, list scrubbing. Get counsel to review the outbound plan.
Hire to the volume by hour, or contract the coverage. Run the four-week curriculum. Start on inbound Service with a coach listening.
Route the phones. Review the scorecard weekly for the first month, fix the largest gap each week, and expand scope (Sales, outbound) only after inbound is stable.
What usually goes wrong
- Launching before the metric definitions exist, so the first month cannot be measured
- Starting on outbound Sales, the hardest work, instead of inbound Service, the fastest win
- Hiring to an average instead of to the peaks, so abandon rate never moves at lunch
- Word-for-word scripts that make trained people sound like machines
- No consent record on outbound lists, discovered by counsel after the fact
- A BDC that works outside the CRM and scheduler, so the store cannot see what it does
The shortcut
Steps 3 through 7 are already built if you contract the function. Alpha Drive AI arrives with the integrations, the frameworks, the compliance controls, the trained Live Assist agents and the Command Center scorecard, and onboards one store and one department at a time. It routes to your advisors and salespeople like any dealership AI, and unlike AI-only tools it does not require you to build an internal BDC for step 7 at all. You keep steps 1, 2 and 8: the scope, the decision and the weekly review. The outsourced model → · Talk to us →
Starting a BDC: questions
How do you start a BDC at a car dealership?
Decide the scope, choose the staffing model, fix the systems, define the metrics, write the frameworks and cadences, set the compliance rules, staff and train, then launch on inbound Service and review weekly before expanding.
How many people does a BDC need?
It depends on call and lead volume by hour, not headcount rules of thumb. Pull abandon rate by hour from your phone system and staff, or automate, to the peaks. AI in front removes the peak-staffing problem entirely.
Should a new BDC start with Sales or Service?
Service, in most stores. The missed-call volume is larger, the appointment is simpler to book, and results show within weeks. Add Sales once inbound Service is stable.
What is the fastest way to launch a BDC?
Contract it. An outsourced or AI-plus-agent model can be live in weeks with systems, frameworks and staff already in place. Alpha Drive AI onboards store by store, department by department.
Can a small dealership have a BDC?
Yes. A single rooftop may not justify a staffed department, but it can put AI on the phones and route exceptions to a person, which is how Alpha Drive serves single stores.
