Chapter 2

The sales BDC: how the showroom gets filled.

A sales BDC exists for one reason: to convert every sales inquiry into a set, confirmed and shown appointment. Here is how the function works, what it is measured on, and where AI fits.

From contact to showroom.

1. Capture
Every phone-up and lead

Sales calls answered live, internet leads acknowledged within minutes, chats and texts handled in the same queue.

2. Qualify
The four questions

Vehicle of interest, timeline, trade and payment expectations, captured in the CRM in the desk's format.

3. Book
Appointment with a purpose

A specific time, a specific vehicle pulled up front, a specific salesperson, confirmed by text.

4. Follow up
Unsold and no-show

Cadenced follow-up on customers who did not buy or did not show, until they book again or opt out.

Sales BDC numbers.

Contact rate
Leads reached

Leads contacted divided by leads received. Response speed drives it.

Set rate
Appointments set

Appointments set divided by contacts made.

Show rate
Appointments kept

Shows divided by sets. Confirmation discipline drives it.

Sold rate
Deals from BDC

Sold divided by shown. The number the GM cares about.

Where AI changes the sales BDC

The first touch is now a machine's job: answering the phone-up on the first ring, replying to the internet lead in seconds, checking live inventory and booking the appointment in the scheduler. That is volume work, and AI does it at any hour without a queue. What remains for people is judgment: the buyer who wants to negotiate, the relationship follow-up, the equity and lease-end campaigns. AI-only vendors leave that to your salespeople and an internal BDC. Alpha Drive AI runs the first with Inbound Pro, transfers to your sales floor like any AI, and supplies Live Assist agents for the rest, so it is the only option that can erase the internal sales BDC and the only one that makes human outbound calls. What the sales BDC handles, contact by contact

Phone-ups. The caller usually has a specific vehicle in mind and one question: is it available, what is the price, can I see it today. The BDC answers the question first, asks two or three qualifying questions, and offers two specific times. It does not try to sell the car on the phone.

Internet leads. These arrive from the dealership website, third-party listing sites, OEM sites and social channels, and they are judged on response speed. The BDC acknowledges on the customer's channel within minutes, answers the actual question, and offers appointment times. Templated replies that ignore the question are the most common failure.

Chat and text. Same rules as leads, shorter form. Identify, answer, ask, and make it easy to reply or stop.

Unsold follow-up. Customers who visited and did not buy are worked on a written cadence, usually by the salesperson who met them with the BDC as backstop. Every touch should add information or an offer.

Equity and lease-end. Existing customers whose position makes a new purchase attractive are contacted with a specific offer. This is promotional outreach and is done by people, not AI voice, under Alpha Drive's compliance model.

How the sales BDC works with the sales floor

The relationship fails when the BDC sets vague appointments and the floor treats them as walk-ins. It works when the appointment names a time, a vehicle and a salesperson, the vehicle is pulled up, the salesperson has read the CRM notes, and the BDC gets credit on the desk log. Most stores pay the BDC on set and shown appointments and the salesperson on the sale, so both are rewarded when the handoff is clean.

Sales BDC structures

Some stores run a dedicated Sales BDC separate from Service; others blend both into one team with shared agents. Larger groups add an internet or lead manager who owns lead routing and source performance. Whatever the structure, the sales side needs live inventory access, incentive knowledge and CRM discipline, because a phone-up answered with stale pricing sets an appointment that will not close.

Sales BDC questions

What is a sales BDC?

The sales BDC is the team that turns inbound sales calls, internet leads, chats and unsold showroom visits into confirmed appointments for the sales floor. Salespeople sell; the sales BDC gets the customer to the store.

What is BDC in car sales?

In car sales, BDC refers to this appointment-setting function. A BDC set appointment is a customer who booked a visit through the BDC rather than walking in or contacting a salesperson directly.

What does a sales BDC do all day?

Answer sales calls, respond to internet leads within minutes, qualify budget, trade and timeline, book and confirm appointments, follow up on unsold traffic and no-shows, and log everything in the CRM.

How fast should a sales BDC respond to an internet lead?

Within minutes. Response speed is the single largest driver of contact rate on internet leads, which is why AI response is now standard for the first touch.

Can AI run a sales BDC?

AI can answer every phone-up and lead instantly, qualify, book and write to the CRM. Negotiation, relationship follow-up and promotional outreach still belong to people. Alpha Drive AI runs both halves.
