The BDC representative: what the job actually is.
A BDC representative is the person on the other end of a dealership's phone, text and lead queue. This page covers the responsibilities, skills, metrics and pay structure, with a job description template and interview questions a manager can use as written.
A BDC rep's day.
Sales and service calls, texts and chats answered fast, questions answered, appointments booked in the scheduler with a confirmation text.
Internet leads acknowledged on the customer's channel within minutes, with two appointment times offered.
Unsold, no-show, declined service and recall lists worked on a written sequence, logged in the CRM.
Every contact, outcome and consent basis recorded so the manager and the store can see it.
Job description template
Title: BDC Representative (Sales or Service). Reports to: BDC Manager.
Purpose: Convert every inbound customer contact and assigned follow-up task into a set, confirmed and shown appointment, while keeping the CRM and scheduler accurate and every outbound contact compliant.
Responsibilities:
- Answer inbound sales and service calls, texts and chats within the department's speed-to-answer standard
- Respond to internet leads within the department's response-time standard on the customer's channel
- Qualify customers using the department's framework and book appointments in the dealership scheduler

- Transfer customers who need a salesperson or advisor with a brief and the context attached
- Meet weekly targets for set rate, show rate and CRM completeness
Requirements: Clear phone communication, accurate and fast keyboard work, comfort with CRM and scheduling software, reliability on a shift schedule, willingness to follow scripts as frameworks and be coached on recorded calls. Dealership experience helpful, not required. Bilingual ability valued where the market requires it.
Interview questions
- A customer calls asking if a vehicle is still available. Walk me through the call, start to finish.
- An internet lead came in 40 minutes ago and nobody responded. What do you do and what do you say?
- A service customer is upset that their car was not ready when promised. How do you handle the call and what do you do afterward?
- How do you decide when to hand a customer to a salesperson or advisor, and how do you do the handoff?
- What would you record in the CRM after a call that did not result in an appointment?
- Describe a time you had to follow a process you did not fully agree with. What did you do?
- Role play: I am a customer who says I am "just looking." Set the appointment.
Pay structure
Most stores pay a base wage plus performance pay on appointments set and shown, and some add a bonus on sold or RO outcomes. The best plans pay on outcomes the representative can influence, measure them on written definitions, and pay the same way for inbound and outbound work so neither queue is neglected. Figures vary widely by market; we do not publish benchmarks here.
Where the role is going
When AI answers every inbound contact and books the appointment, the representative seat shifts from volume to judgment: escalations, relationships and promotional outreach. Alpha Drive AI supplies both halves, the AI and Live Assist agents, so a dealership can have the function without hiring, training and replacing the role. Live Assist →
BDC representative questions
What is a BDC representative?
A BDC representative, also called a BDC agent or BDC rep, is a dealership employee who handles inbound calls, internet leads, texts and chats, sets and confirms appointments for Sales or Service, follows up on unsold and declined customers and records everything in the CRM.
What does a BDC rep do all day?
Works a queue of inbound contacts and outbound follow-up tasks: answering calls, replying to leads within minutes, qualifying, booking appointments in the scheduler, confirming by text, running follow-up cadences and logging outcomes.
What skills does a BDC representative need?
Phone presence, speed and accuracy on the CRM and scheduler, the discipline to follow a cadence, comfort asking for the appointment, and enough product and service knowledge to answer the first question a customer asks.
How is a BDC representative measured?
Speed to answer, appointment set rate, show rate, contacts per hour and CRM completeness. Some stores also track sold or RO rate on the rep's appointments.
How are BDC representatives paid?
Typically a base wage plus performance pay tied to appointments set and shown, sometimes with a bonus on sold or RO outcomes. Structures vary by dealership.
Do dealerships still need to hire BDC representatives?
Not necessarily. Alpha Drive AI performs the representative's volume work with AI and supplies Live Assist agents for the judgment work, so a store can have the function without recruiting and retaining the role.
