Job description template
Title: BDC Manager. Reports to: General Manager. Serves: Sales and Service.
Purpose: Maximize shown appointments and the revenue behind them from every inbound customer contact and outbound campaign, while keeping the department fully staffed, coached, compliant and visible in the CRM.
Responsibilities:
- Own department KPIs: abandon rate, speed to answer, appointment set rate, show rate, sold and RO rate on BDC appointments
- Schedule representatives to match call and lead volume by hour and day; manage overflow
- Write and maintain script frameworks, follow-up cadences and lead-routing rules by lead type
- Coach each representative weekly on recorded calls against a written rubric
- Maintain CRM and scheduler integrity: routing, duplicates, appointment write-back, consent records
- Ensure outbound compliance: consent basis, disclosure where required, quiet hours, opt-out handling
- Publish the weekly BDC scorecard and present it to the GM and fixed ops director
- Recruit, onboard and retain representatives; manage turnover
Requirements: Experience running or working in a dealership BDC or comparable phone-based sales or service team, fluency with dealership CRM and scheduling systems, demonstrated coaching ability, comfort with reporting and spreadsheets, and working knowledge of consumer contact compliance.

- Show me the scorecard you ran at your last store. Which number did you move most, and how?
- Your abandon rate spikes to 25% from noon to 1pm. What are your first three moves?
- How do you define an opportunity for set-rate purposes, and how do you keep the definition from drifting?
- Walk me through how you coach a representative whose set rate is fine but whose show rate is poor.

First 90 days
- Days 1 to 30: measure. Fix the metric definitions, build the scorecard, pull abandon rate by hour, listen to fifty calls, audit the CRM and consent records.
- Days 31 to 60: fix coverage and process. Reschedule for peaks, rewrite the two worst cadences, install the coaching rhythm, close the CRM gaps.
- Days 61 to 90: prove it. Show the trend on set, show and abandon, present the first monthly review to the GM, and decide what the department should stop doing.
